Why your role matters
As an Executive Assistant at i3D.net you keep the CEO and the rest of the C-level team running smoothly. You bring structure, follow up on what needs to happen, and keep the day organized in a way that helps everyone move faster. You make sure important things get done and that the right people talk to each other at the right moment.
What you’ll be doing
Agenda ownership: Keep the CEO’s agenda tight and organized, plan, and make sure he is prepared for whatever the day brings.
Follow up and coordination: Keep an eye on actions and decisions, check in with teams, and make sure nothing gets forgotten.
Travel and logistics: Arrange trips, customer visits, and events for the CEO and C-level team without last-minute stress.
Meeting preparation: Sort out everything needed for meetings with customers, partners, and internal teams so they run smoothly.
Communication flow: Help keep everyone in the loop by organizing updates, reminders, and simple structures that support teamwork.
Structure and organization: Create straightforward routines around planning and follow-ups so days feel less chaotic and more focused.
What success looks like in the first year
Consistent agenda management: The CEO’s agenda is well structured, planned, and runs without unnecessary changes.
Reliable follow-up: Actions and decisions are tracked properly and handled within the expected timelines.
Efficient travel planning: Trips, customer visits, and events are organized accurately and with all required details in place.
Improved structure: You introduce small processes that make planning, follow-up, and communication more predictable.
Trusted point of contact: The CEO and C-level team rely on you for coordination, planning, and clear communication.
Professional representation: Internal and external stakeholders experience smooth coordination and timely responses.
Your profile
Experienced Executive Assistant: You bring at least 5 years of Executive Assistant experience in an international environment. Experience in an IT organization is a big plus.
Strong in organization: You manage planning, agendas, and priorities with accuracy and overview.
Clear communicator: You are fluent in English and Dutch and comfortable interacting with colleagues, customers, and C-level stakeholders.
Proactive approach: You identify what needs attention and take action without waiting for instructions.
Steady under pressure: You handle changing schedules and busy periods in a calm and controlled way.
Follow-up focused: You keep track of tasks and ensure outcomes are delivered.
Discrete and reliable: You handle sensitive information with care and professionalism.
International mindset: You are used to coordinating travel and communication across time zones.
Comfortable with digital tools: You work easily with Office 365, planning tools, and other systems.
Location and work permit: You already live in the Netherlands, hold a valid EU work permit, and are available to work from our Rotterdam office at least two days per week.
