Position Summary:
As an Executive Assistant to the Founder at Gruve, you will play a central role in supporting our leadership team while ensuring the smooth operation of day-to-day activities. You will act as an extension of the leadership’s thinking, not just an executor of tasks. This role requires anticipating executive needs, managing complex schedules, structuring information, and ensuring follow-through on priorities, decisions, and action items.
In addition to strong organizational and communication skills, this role calls for critical thinking and analytical capabilities. You will support leadership with analytics-related tasks, prepare insights, and help leaders make informed decisions. Key Responsibilities:
- Schedule Management:
Oversee complex calendar management across multiple time zones, ensuring alignment with priorities, minimizing conflicts, and coordinating efficient travel arrangements.
- Relationship Building:
Foster strong working relationships with leadership, board members, and key stakeholders. Proactively manage priorities, anticipate future needs, and offer solutions to support informed decision-making.
- Primary Point of Contact:
Serve as the main liaison between Executive Leadership, Board Members, and internal/external stakeholders, ensuring seamless communication and collaboration.
- Operational Support & Process Improvement:
Support day-to-day operational tasks and internal processes. Contribute ideas for continuous improvement, enhance efficiency, and prepare leadership communications as required.
- Event & Meeting Coordination:
Organize and execute internal and external meetings and business events. Prepare agendas, pre-reads, summaries, and decision notes. Capture minutes, track action items, manage follow-ups, and ensure timely closure.
- Analytics & Reporting Support:
Assist in analyzing data for business and team needs. Generate reports, interpret trends, and deliver actionable insights using strong attention to detail and problem-solving skills.
- Communication & Knowledge Management:
Draft and manage internal and external communications on behalf of leadership. Maintain structured documentation, workflows, and knowledge repositories to ensure clarity and continuity.
Basic Qualifications:
- MBA
- 4–6 years of experience in an administrative role supporting executive-level management in a corporate environment
Preferred Qualifications:
- Experience managing projects and events from planning through execution
- Expertise in calendar management across international time zones, travel planning, and event budgeting
- Proven ability to independently manage multiple priorities with strong project management skills
- Strong critical thinking and analytical skills, including reporting and data analysis
- Ability to proactively manage follow-ups, reminders, briefs, and context without waiting for instructions
- Comfortable working across multiple stakeholders, geographies, and subject areas (strategy, operations, people, finance)
- High proficiency in Excel, PowerPoint, and data analytics tools
- Comfortable using ChatGPT/Gemini and similar tools to improve efficiency and decision support
