Executive Business Partner

About the Role
We’re looking for a highly organized, proactive, and detail-oriented Executive Business Partner to support our CEO. This role is not about traditional administrative support alone — it is about owning the operational backbone that enables the CEO and leadership team to operate efficiently and effectively. The person who thrives in this role is operationally excellent, highly reliable, versatile communicator, and thrives behind the scenes making complex logistics look effortless.
At its core, this role is responsible for seamless calendar and travel management, coordinating high-impact meetings and events, supporting CEO communications, and ensuring the office runs smoothly. You’ll act as a central hub across executives, partners, and internal teams — anticipating needs, removing friction, and ensuring nothing falls through the cracks.
This role wears a lot of hats — including some office management responsibilities — but the person who thrives here will be someone who sees the full picture, operates with ownership, and treats every deliverable like it matters. Because it does.
What You’ll Do
Executive Support & Coordination
- Own and manage the CEO’s calendar with precision — prioritizing time, resolving conflicts, and ensuring alignment with business priorities
- Coordinate scheduling across executives, partners, and board members
- Prepare the CEO for meetings with clear agendas, logistics, and follow-ups
- Anticipate needs and proactively solve scheduling or coordination challenges
Travel & Logistics Management
- Plan and manage all CEO travel, including flights, accommodations, itineraries, and contingencies
- Ensure smooth execution of travel plans with detailed, organized itineraries
- Coordinate travel logistics for leadership meetings, offsites, and events as needed
CEO Communications Support & Presentation Support
- Draft and manage CEO communications, including internal emails, announcements, and external correspondence
- Develop and maintain a library of reusable templates, frameworks, and brand-consistent assets
- Create internal leadership presentations, one-pagers, and briefing documents
- Prepare talking points, agendas, and follow-ups for key meetings
- Ensure communications are clear, timely, and aligned with company voice and priorities
- Handle sensitive and confidential information with discretion
Event & Offsite Planning
- Lead end-to-end planning for executive offsites, leadership summits, and company-wide events
- Own venue selection, vendor coordination, agendas, travel logistics, and day-of execution
- Travel with senior leadership for bi-annual offsites as needed
- Partner with leadership to design experiences that are purposeful, well-run, and reflective of company culture
- Manage event budgets, contracts, and post-event follow-through
Office Operations
- Serve as the Charlotte office manager, ensuring the workspace runs smoothly day-to-day
- Manage vendors, supplies, and facilities coordination
- Support in-office meetings and team needs
- Create a professional, organized, and welcoming environment for employees and visitors
About You
- 2+ years of experience in executive support, operations, or a similar role (Executive Assistant, Business Partner, Operations Coordinator, or similar)
- Strong with presentation building tools such as Google Slides, PowerPoint and AI-enabled slide building tools
- Versatile communicator with strong written communication and oral communication — you can draft a CEO-level company email that sounds human, direct, and on-brand
- Event planning chops — you've planned offsites, leadership retreats, or company events and know how to manage the details without losing sight of the experience
- High EQ and executive presence — you're comfortable in a room with senior leaders, board members, and external partners
- Ownership mentality — you don't wait to be told what needs to happen; you see it and handle it
- Discretion and judgment — you'll be exposed to sensitive strategic, financial, and personnel information and can be trusted completely
- Comfortable in a fast-paced, high-growth environment where priorities shift and no two weeks look the same
