You in This Role As an HR Operations Specialist at Unusual Machines, you will serve as the operational backbone of the HR team. This is a highly trusted, confidential, and detail-driven role focused on keeping HR processes organized, compliant, and running smoothly in a fast-growing, dynamic environment.
You’ll take tactical and administrative responsibilities off HR’s plate — owning onboarding logistics, offer documentation, employee files, and compliance tracking. No two days will look the same. You’ll help ensure new hires feel welcomed, paperwork is completed accurately and on time, and HR operations stay structured as the company scales.
This is an in-office role, working closely with a collaborative team of 5–6 HR professionals.
A Day in the Life
• Preparing and sending offer letters and onboarding documentation
• Coordinating background checks and ensuring proper clearance
• Setting up new hires in internal systems and creating onboarding plans
• Emailing new hires with logistics (start times, location, expectations)
• Coordinating swag bags, welcome materials, and team notifications
• Creating and maintaining employee folders and ensuring files are audit-ready
• Managing required compliance documentation
• Updating org charts, spreadsheets, and tracking documents
• Supporting special HR projects and identifying process improvements
What You’ll Do
• Ensure all employee documentation is complete, accurate, and compliant
• Maintain and organize digital and physical employee files
• Track and manage background checks and required forms
• Support HR compliance initiatives and stay audit-ready
• Assist with org charts, reporting, spreadsheets, and data tracking
• Proactively identify gaps in processes and recommend improvements
• Provide confidential administrative support to the Hiring Manager
• Support special projects and evolving HR initiatives as the company grows
What You’ll Bring
Required:
• Prior experience working in HR or in a highly confidential administrative role
• Strong understanding of confidentiality and professional discretion
• Excellent organizational and time management skills
• High attention to detail and accuracy
• Strong computer skills, including Microsoft Office
• Experience with Google Drive and shared document management
• Ability to prioritize in a fast-paced, constantly evolving environment
• Strong written and verbal communication skills
