Role Description:
The Mail & Operations Coordinator role provides operational support across Lead Bank by managing the intake, review, routing, and distribution of incoming mail, as well as preparing and sending outgoing mail related to bank operations. This work requires strong attention to detail, good judgment, and the ability to identify time-sensitive or higher-risk items. Team members work in a fast-paced environment where priorities may shift throughout the day, requiring organization, discretion, and clear communication. By helping ensure documents and correspondence are handled accurately, tracked appropriately, and delivered to the correct teams in a timely manner, this role supports day-to-day efficient operations, recordkeeping expectations, and a consistent client experience. This role may also assist with document preparation, archival support, and ongoing communications within the banking operations team.
In this role you will:
Process and distribute all incoming physical mail, ensuring items are logged, reviewed, and routed accurately and in a timely manner
Prepare and send outgoing mail related to bank operations, including client correspondence and internal mail requests
Monitor and distribute incoming facsimile communications and ensure proper handling and delivery of received documents
Maintain organized and accurate mail intake logs and tracking records to support operational visibility and recordkeeping expectations
Support document archiving and retrieval activities
Assist with project-related mailing or document handling tasks as assigned through operational work channels
Maintain physical record storage and retention practices, including organization and oversight of archived materials located in designated storage areas
Ensure all handled materials are managed in accordance with confidentiality, compliance, and operational policy requirements
Communicate clearly with internal teams regarding mail status, delivery timing, or required follow-up
Cross-train team members for business continuity purposes
Perform other duties as assigned
Qualifications:
High school diploma or equivalent required
Strong attention to detail and organizational skills
Ability to manage repetitive processes with consistency and accuracy
Comfort handling sensitive or confidential financial and legal documents
Basic computer proficiency and ability to learn internal recordkeeping or archival systems
Ability to prioritize tasks and adapt to shifting daily workload volumes
Clear written and verbal communication skills for internal coordination
Dependable work habits and strong accountability for task completion
Demonstrated ownership of assigned responsibilities, including follow-through, proactive communication, and identification of process gaps or improvements
Ability to lift, sort, and move mail or stored records within normal office expectations
Willingness to support operational document and mailing needs across banking operations teams as workload requires
