Role Overview
The Office Administrator supports the day-to-day operation of the office environment and helps ensure a smooth and organized workplace experience for employees. This role acts as the daily office host and assists with office logistics, meeting coordination, and administrative support while working with building management, vendors, and internal teams to address facilities needs and maintain a well-functioning workplace. The Office Administrator plays an important role in supporting workplace operations, helping maintain an organized and welcoming environment, and assisting employees with a variety of administrative and operational needs.
Key Responsibilities
Support daily office operations to help ensure the workplace runs smoothly and efficiently.
Maintain office supplies and restock common areas, including monitoring inventory and ordering supplies.
Serve as a welcoming point of contact for employees, visitors, and vendors in the office.
Assist with coordination of office equipment and facilities needs, including submitting maintenance requests to building management or vendors.
Administer the office seating reservation platform and assist employees with workspace-related questions.
Help maintain a clean and organized office environment, including tidying shared spaces, kitchen areas, and meeting rooms.
Provide administrative support to employees, including meeting coordination, workspace logistics, and general office assistance.
Assist with meeting setup and logistics, including preparing meeting rooms, coordinating meals or refreshments when needed, and supporting post-meeting cleanup.
Support coordination with building management, vendors, and caterers to ensure office services run smoothly.
Assist with travel arrangements and expense reports for employees as needed.
Help coordinate office events and employee engagement activities.
Perform other administrative tasks to support office operations and employee needs as needed.
Qualifications
0–2 years of experience in office administration, workplace operations, hospitality, or administrative support.
Strong organizational and time-management skills with the ability to manage multiple tasks and priorities.
Strong communication and interpersonal skills with the ability to work effectively with employees, vendors, and building management.
Ability to provide responsive and professional support to employees across the organization.
Experience with common office tools (Microsoft Office, scheduling platforms, expense management systems, etc.).
Demonstrated proficiency with workplace technology and a willingness to learn new systems as needed.
Ability to work independently while taking direction and learning new processes quickly.
Strong attention to detail and commitment to maintaining an organized workplace environment.
Comfortable working through ambiguity with flexibility, professionalism, and strong attention to detail.
