About the role
We’re looking for a friendly, organised Office Assistant to support the day-to-day running of our two Cambridge offices. This is an onsite role in a growing deep tech scale-up, reporting to our main Office Manager.
You will be a key support to the team, helping to keep the office welcoming and running smoothly so that the wider team can focus on building and scaling cutting-edge technology.
What You'll be doing
- Supporting the Office Manager with day-to-day office tasks across two sites in Cambridge.
- Helping to keep the office functioning efficiently by sourcing supplies and consumables.
- Organising food and drinks for the office, meetings, and team get-togethers.
- Booking meeting rooms and assisting with meeting set-ups and post-meeting clear down.
- Being a friendly first point of contact for ad-hoc office queries (in person and via email/chat/phone etc.) from the team and external visitors.
- Working with the People Team to assist with onboarding for new starters and offboarding for leavers.
- Assisting with supplier, courier, and delivery coordination.
- Coordination with cleaning and security contractors.
- Receiving deliveries, handling goods in, and supporting outbound shipments.
- Helping keep the office organised, safe, practical and efficient.
- Scheduling annual testing for electrical equipment and safety devices and assisting with monthly health and safety monitoring in office areas.
- Providing support to the teams on their more complicated travelling arrangements.
- Supporting with office moves, refurbishments and desk/seat planning.
- Assist with maintaining a well ordered and hygienic kitchen and breakout area.
Requirements
What we're looking for
Essential
- Experience in an office or people-facing role.
- A proactive mindset and willingness to support wherever needed.
- Strong organisational skills and attention to detail.
- Friendly and good communication skills (verbal and written) with a focus on clarity, responsiveness and collaboration.
- Demonstrates proactive problem-solving skills, identifying and addressing potential issues before they arise.
- Comfortable using everyday office tools (Google suite; email, chat, calendars, Google docs and spreadsheets, task management tracker, Microsoft office software programmes).
- Ability to work onsite and juggle multiple tasks at the same time across both sites with the ability to prioritise tasks and workload.
- Enjoyment of working in a collaborative, fast-paced team.
Desirable (not required but beneficial)
- Experience working in a start-up, scale-up, or technology-led environment.
- Experience supporting office logistics, suppliers, or couriers.
- An interest in technology, innovation, or deep tech.
- Trained in first aid, mental health first aid and fire marshall.
- Experience of health & safety risk assessments.
