We're looking for an Office Manager/Executive Assistant to be a foundational part of setting up and running our first NYC office, while providing high-touch administrative support to our founders. This is a hands-on, in-office role that blends executive support with day-to-day office operations–ideal for someone who's energized by variety, takes pride in the details, and thrives in a startup environment where no two days look the same.
You'll work most closely with our leadership team on calendar and expense management, while also owning the physical office experience and coordinating with vendors to keep everything humming behind the scenes.
Executive Support
Manage complex, fast-moving calendars for the CEO and CTO, including scheduling internal and external meetings, resolving conflicts, and anticipating needs before they arise.
Process and reconcile founder expenses, ensuring timely and accurate submissions.
Office Management
Help stand up our first dedicated NYC office: sourcing supplies, setting up systems, and shaping the space from day one
Own the day-to-day office experience: meals, snacks, mail, deliveries, general upkeep, and making sure the space feels great for the team.
Serve as the primary point of contact for building management, cleaning services, IT equipment vendors, and other office-related suppliers.
Manage vendor relationships and contracts for office services, negotiating terms and ensuring service quality.
Coordinate office events such as team lunches, happy hours, and in-office gatherings.
Greet visitors and manage guest logistics for candidates, investors, and partners.
Strong calendar management instincts. You can juggle competing priorities, read context, and make smart scheduling decisions with minimal direction.
Excellent written communication skills.
Highly organized with sharp attention to detail and a bias toward getting things done proactively.
Comfortable with tools like Google Workspace, Slack, Notion, and expense platforms (e.g., Ramp).
Discretion and sound judgment when handling confidential information.
A genuine desire to make the people and environment around you better–you notice what needs doing and just do it.
Experience supporting C-suite executives at an early-stage or Series A company.
Familiarity with vendor negotiation and basic contract management.
Interest in AI or technology.
