About Swoop:
Swoop Technologies has a mission to organize and make accessible the world’s military and critical infrastructure. We are building a distributed operating system, SwoopOS, that decomposes the world’s equipment into a distributed robotic embodiment upon which a new generation of distributed systems, autonomous systems, and agentic AI can be built and deployed using our SDK, Valhalla, and operated via our browser, Surf. Imagine the world’s equipment - consisting of the electrical grid, communications architectures, manufacturing facilities, and militaries as a trapped supply of inputs possessing the potential to ensure Western military advantage, sovereign control of economically competitive manufacturing capacity, or the creation of a grid that fosters energy dominance. Swoop is liberating these trapped assets, allowing them to contribute to the world’s future as a series of building blocks to be combined at the speed of software, limited by only the hard constraints of physics and the soft constraints of safety. That is what Swoop is building. Not in the data center or cloud or edge on-premise computing node. In the physical world. This is an in-office position that requires someone based in Minneapolis/St. Paul who can work in-office 5 days per week
Your Impact:
As part of Swoop’s internal operations, you’ll directly support the day-to-day work that keeps the team organized, supported, and moving quickly. From managing office logistics and team events to maintaining documentation and supporting new initiatives, you’ll play a highly cross-functional role with exposure across the company. You’ll work closely with ops, engineering, deployment, and executive team members in our Saint Paul office, helping things stay aligned and ensuring nothing falls through the cracks.
What You’ll Do:
Office Management:
Act as the primary point of contact for general office management and employee support
Manage office supplies, equipment, and inventory, ensuring timely restocking
Coordinate facilities management, overseeing office maintenance, repairs, and coordination with building management and contractors
Support team travel bookings, itineraries, and logistics
Coordinate onsite and virtual events, including internal meetings and offsites
Administrative Operations:
Provide scheduling and calendar management support
Assist with digital and physical record keeping
Assist in preparing reports, presentations, and documentation
Support onboarding provisioning and processes as needed
Internal Communication & Support:
Plan and coordinate internal events, meetings, and staff functions
Manage general communication channels
You Should Have:
Proven experience or competency in office management, administration, or operations
Strong organizational and multitasking skills
Excellent communication and interpersonal abilities
Ability to work independently and handle confidential information
Bonus if you have:
Experience in a fast-paced or growing company environment
Proficiency with Microsoft Office Suite and/or Google Workspace
