Due to continued growth, we are looking for an organised and proactive Studio Coordinator to join our team during an exciting stage of expansion.
Role Overview
- The Studio Coordinator plays a key role in the day-to-day organisation and smooth running of the White Fox studio. Acting as a central point of coordination for photoshoots, sample management, and studio operations, this role ensures the creative team has everything required to deliver high-quality content efficiently.
- The position works closely with multiple teams across the business to coordinate shoot logistics, manage sample movement, and support studio-based productions.
Responsibilities
- Coordinate bookings for models, photographers, hair & makeup artists, and other creative talent for studio and campaign shoots.
- Manage and maintain the studio shoot schedule across inhouse studio shoots and campaign projects.
- Work closely and communicate effectively with all members of the creative team to ensure efficient planning.
- Assist with the organisation and production of in-house photoshoots, ensuring all required elements are prepared in advance.
- Support shoot setup, including preparation of props, equipment, and styling elements when needed.
- Manage movement and tracking of samples between the studio and other departments in the business.
- Maintain accurate trackers, planners and necessary documentation to ensure efficient stock flow and shoot planning.
- Communicate daily with relevant teams to ensure samples are prepared, delivered, and returned efficiently.
- Manage the general day-to-day running of the studio, ensuring it is always organised and functioning effectively.
- Assist with studio setup, maintenance, and tidying to maintain a productive and welcoming environment.
- Act as a key contact for visitors, external creatives, and internal team members entering the studio.
- Assist with basic retouching of e-commerce and campaign imagery when required.
- Ensure files and assets are organised according to studio processes.
- Assist with tracking shoot costs and production budgets, including talent bookings and external resources.
Requirements
- Minimum 2 years’ experience in a studio coordination or production role, ideally within fashion, beauty, or lifestyle.
- Experience with image retouching and Adobe Creative Suite.
- Exceptional organisational skills with the ability to manage multiple projects simultaneously.
- Strong communication and interpersonal skills, with the ability to collaborate across departments.
- Understanding of creative, design, and marketing workflows within a fast-paced environment.
- Strong time management skills and the ability to prioritise tasks effectively.
- Financial awareness, including budget tracking and resource planning.
- Highly organised with strong attention to detail.
- Comfortable working across different teams, time zones, and markets.
