The Supply Chain Specialist is responsible for executing the supply chain plan within NetSuite, ensuring all purchase orders, transfer orders, and related transactions are accurate and up to date. This role owns the end-to-end lifecycle of purchase orders from creation through receipt, ensuring alignment between supplier commitments, inbound shipments, and system records. The role requires strong attention to detail and a high level of accuracy to ensure that financial, operational, and inventory data remain aligned.
Attributes required for success in the role
- Execution and Accuracy – You are highly detail-oriented and ensure all transactions in NetSuite are accurate, complete, and reflective of real-time supply chain activity. You take ownership of data integrity across purchase orders and system records.
- Process Discipline – You follow structured processes for PO management, transfer orders, and inbound documentation, ensuring consistency and reliability at scale.
- Analytical Intelligence – You are comfortable working across multiple data sources, identifying discrepancies between supplier data, shipments, and system records, and resolving issues quickly.
- Communication – You coordinate across internal teams, suppliers, and partners to ensure alignment on purchase orders, shipments, and documentation.
Responsibilities
Purchase Order Management
- Own end-to-end creation, updates, and maintenance of purchase orders in NetSuite.
- Ensure all POs are accurately created based on planning inputs, including quantities, pricing, and timelines.
- Track and maintain PO accuracy across ETDs, ETAs, volumes, and unit costs from creation through receipt.
- Update POs as needed to reflect changes in supplier commitments or business requirements.
System and Transaction Accuracy
- Ensure all supply chain transactions in NetSuite accurately reflect current order and shipment status.
- Create and manage transfer orders and other system transactions required to support inventory movement.
- Maintain alignment between purchase orders, system records, and physical shipments.
- Identify and resolve discrepancies between supplier data, inbound shipments, and ERP records.
Inbound Documentation and Supplier Coordination
- Coordinate with suppliers to ensure all required documentation is complete and accurate prior to shipment.
Manage inbound documentation to support receiving and accounting processes. - Ensure documentation aligns with purchase orders and system records to enable accurate receipt and payment.
Financial and Accounting Alignment
- Support accurate inventory receipt and costing by ensuring all required data is available and correct.
- Partner with accounting to resolve discrepancies related to purchase orders, receipts, and billing.
- Ensure all transactions are completed in a timely manner to support financial close and reporting.
Customs and Compliance Support
- Ensure required HTS codes and tariff information are included on purchase orders and documentation.
- Support customs clearance processes by ensuring documentation accuracy and completeness.
- Coordinate with internal teams and partners to resolve any compliance-related issues impacting inbound shipments.
Qualifications and attributes
- 2+ years’ experience in supply chain, procurement, or operations
- Experience working with ERP systems (NetSuite preferred)
- Experience managing purchase orders or similar transactional workflows
- Strong attention to detail and data accuracy
- Ability to manage multiple priorities and maintain accuracy under tight timelines
- Strong analytical skills with ability to reconcile data across multiple sources
- Excellent communication skills with internal stakeholders and external partners
