The Electronic Collateral Administrator is responsible for maintaining the accuracy, security, and integrity of the organization’s electronic collateral and custodial systems. This role supports collateral operations by managing digital collateral records, processing electronic fundings, releases, and replacements, and ensuring compliance with internal controls, regulatory requirements, and service-level standards.
Essential Duties and Responsibilities
- Maintain the integrity of electronic custodial and collateral management systems by accurately entering, updating, and releasing collateral records in accordance with established policies and controls
- Process electronic fundings, releases, and collateral substitutions, ensuring all required documentation is properly uploaded, indexed, and retained within approved systems
- Manage digital collateral files, ensuring documents are accurately classified, searchable, and stored in compliance with retention and audit requirements
- Review electronic collateral documentation for completeness, accuracy, and compliance prior to approval or release
- Perform ongoing quality control and reconciliation activities to identify and resolve data discrepancies within electronic systems
- Ensure all assigned tasks are completed within established departmental deadlines and service-level agreements
- Respond to research and information requests from clients, lenders, auditors, and internal stakeholders within required timeframesSupport internal and external audits by providing electronic documentation, reports, and system evidence as requested.
- Participate in continuous improvement initiatives related to electronic collateral workflows, system enhancements, and process automation
- Perform additional operational and administrative duties as assigned
Requirements
Qualifications, Knowledge, Skills, and Abilities
- High school diploma or GED required; post-secondary coursework in business, finance, or information systems preferred
- Minimum of one (1) year of customer service or operations experience; experience in electronic collateral management, financial services, title, escrow, or loan servicing preferred
- Demonstrated proficiency in electronic document management systems and custodial platforms
- Strong data entry and validation skills, including 10-key proficiency with the ability to meet established productivity and accuracy standards
- Intermediate proficiency in Microsoft Excel, including data review and reconciliation functions
- Strong analytical and problem-solving skills with a high attention to detail
- Ability to manage multiple priorities and meet deadlines in a high-volume, electronic processing environment
- Excellent written and verbal communication skills, with the ability to communicate professionally with internal and external stakeholders
- Willingness to work overtime as business needs require
