We now have an opportunity for an experienced Event Planner to join our Impact Events Team on a fixed term basis until 31 December 2026.
Reporting to the Team Leader, you’ll take the planning and delivery of high‑profile events. Your work will reflect our guiding principles and contribute to H3’s purpose: creating thriving, memorable experiences that bring people together.
What you'll be doing day to day:
Client & Stakeholder Engagement
- Collaborate with clients to define event goals and objectives.
- Build and maintain strong relationships with key clients (e.g., promoters, event organisers) and H3 partners.
- Ensure timely and consistent communication with clients and internal teams.
- Support proposal and contract development with the Business Development Team.
- Work with the marketing team to create event-specific content, including pre-event info, website listings, and promotional materials.
Event Planning & Coordination
- Manage event budgets to ensure cost efficiency and client alignment.
- Plan, upsell, and oversee event logistics (Production, floor plans, catering, security, etc.).
- Source and manage third-party suppliers.
- Ensure compliance with industry regulations and safety protocols.
- Develop contingency plans for potential disruptions.
Ticketing
- Manage ticket builds and on-sale processes with H3 Ticketing and clients.
- Coordinate with marketing to boost ticket sales and audience reach.
- Monitor ticket sales, manage holds, and keep stakeholders informed.
- Oversee accurate and complete post-event ticketing settlements.
On-Site Event Delivery
- Oversee all event phases (pack-in, event, pack-out), including setup, staff coordination, and logistics.
- Manage audience flow, security, and emergency procedures.
- Operate Event and Operational Control Rooms, making confident decisions under pressure and managing large crowds.
Financial & Administrative Management
- Handle purchase orders and reconcile financial records post-event.
- Maintain accurate and timely event documentation in Momentus.
Collaboration & Continuous Improvement
- Align internal teams, clients, and partners for cohesive event delivery.
- Identify and act on opportunities for cross-functional collaboration.
- Promote continuous improvement by challenging the status quo and striving to exceed expectations.
Evaluation & Reporting
- Collect feedback from clients and internal teams to assess event performance.
- Prepare detailed reports on successes, challenges, and recommendations.
- Apply insights to improve future event planning and execution.
Qualifications

We’re seeking someone who strives to be the best version of themselves and brings a positive, proactive approach to their work. You will bring:
- Strong expertise in large-scale public event planning.
- Experience with ticket sales, pricing models, and revenue tracking.
- Certification in Event Management, Business, Hospitality, or related fields.
- 3+ years of experience in planning ticketed public events.
- Ability to manage multiple service providers and partners.
- Understanding of event permits, security protocols, and safety regulations.
- Plan, input and Oversee event requirements, including Production, Floor plans, cleaning, security and catering services.
- Ability to control costs and maximise revenue opportunities.
- Strong interpersonal skills to engage with clients, vendors, sponsors, and media.
- Experience with ticketing platforms, event management software, and digital marketing tools.
- Awareness of crowd management, sponsorship agreements, and commercial event trends.
- Ability to manage multiple moving
- -paced environments.
- Works efficiently during peak event operations and crises.
- Ability to calmly manage high stress events, always remaining professional
- Quickly adapts to unexpected challenges with practical solutions.
- Builds strong relationships with clients, stakeholders, and suppliers.
- A proven track record that aligns with H3’s guiding principles.

The salary for this role starts at $72,512 dependent on skills and experience.
