Disability Administration Assistant
Position Description
As the Disability Administration Assistant, you will be working in a dynamic environment with a variety of office-based responsibilities. You will play an integral role in ensuring Lifewise Health and Disability Services provides a high quality service to our clients and all other stakeholders. This is a permanent position.
WHO YOU REPORT TO
- You report to the Disability Team Leader in the Health and Disability Service
WHAT YOU’RE RESPONSIBLE FOR
- Providing general administration support to the Disability Services team, including both Individualising Funding (IF) and Younger Persons with Disabilities (YPD).
- Entering accurate information into our client record management system in a timely manner including service requests, service authorisations, service delivery plans, review notes and event notes to ensure a full record of clients’ support needs is maintained.
- Maintaining accurate reporting data, conducting internal audits on client records, ensuring client email lists are kept up-to-date, and maintaining current client review spreadsheets.
- Liaising with external stakeholders to ensure client records are up-to-date.
- Accessing our client record management system to respond to queries from disabled people and their families.
- Entering new IF employees into our client record management system and forwarding to Payroll Team.
- Checking that client invoices, purchases and reimbursement claims meet the purchasing rules.
- Other administration duties as required from time to time.
WHAT SKILLS & EXPERIENCE YOU NEED
- At least two years administration experience
- Highly effective verbal and written communication skills
- Fluent use of the Microsoft Office suite including Word, Powerpoint, Outlook Calendar and Excel
- Experience using a database client management system is desirable
- Excellent attention to detail, in particular with written documentation and electronic databases
- Excellent time management and organisational skills
- Flexibility in your ability to adapt to the changing needs of the role as determined and directed by the Disability Team Leader
