The Operations Coordinator is a highly organized, tech-fluent operator responsible for being the operational backbone of the Austin office and the broader Backflip team. This role exists to support the Operations Associate and Leadership Team by flawlessly executing administrative workflows and internal IT/SaaS provisioning.
This is a hands-on execution role for someone who operates with meticulous organization, anticipates needs proactively, and serves as a trusted partner managing everything from the virtual mailbox to SaaS onboarding and off boarding.
This position reports to the Operations Associate and offers the opportunity to take ownership of systems access and daily office logistics so the company can focus on high-leverage growth objectives. This is an in-office role based in Austin, TX.
What You’ll Do
Take over SaaS onboarding and offboarding from our external IT vendor.
Manage the logistics of the new-hire experience, including onboarding guides, new-hire checklists, and organizing welcome meetings.
Serve as the primary point of contact for the IT vendor, until such time they are no longer needed.
Take full ownership of the Virtual Mailbox, physical mail, check deposits, and shipping with a zero-backlog standard.
Conduct a comprehensive "Corporate Hygiene" audit across Slack, Notion, and SaaS platforms to identify and execute cost reductions.
Achieve 100% on-time, error-free preparation for weekly agendas and company-wide standups.
Assume certain administrative functions for recruiting, including managing roles in the ATS and scheduling interviews.
Perform legal notarizations promptly (must obtain a Texas Notary Public commission within 30 days if not already certified).
Take ownership of maintaining the Autin office, including property manager relations and stocking the office kitchen
Qualifications
At least 2 years of experience in office management, IT administration, or a similar operational role.
Highly comfortable navigating, provisioning, and auditing modern SaaS platforms (e.g., Google Workspace, Slack, HubSpot, Notion) without relying on external IT support for basic tasks.
Meticulous organization and a "zero-defect" mindset; naturally double-checks work and rarely drops balls.
Anticipatory execution; looks ahead at the corporate calendar to begin prep work proactively rather than waiting for instructions.
Strong operational reliability and pristine judgment when handling company data and system access.
Excellent communication skills, placing a high value on clear, timely, and urgent communication with all stakeholders.
Capable of thriving in a fast-paced environment with rapid testing and iteration.
Based in Austin, TX (In-Office; West Austin).
Active Texas Notary Public commission (or obtain one within 30 days of Start Date).

Compensation for this role includes a base salary of $60,000 - $80,000 and an overall OTE of $68,000 - $88,000 (based on experience and qualifications). In addition to a competitive market salary, Backflip employees receive equity stock options, paid health care, and a 401K + company match, among other industry-leading benefits.
