Job Description: Patient Coordinator

About the Role
We are hiring a Patient Coordinator / Patient Success Manager to support a growing dermatology and aesthetic clinic. This role is responsible for managing patient inquiries, scheduling appointments, maintaining accurate records in the EMR system, and ensuring a smooth and professional patient experience from first contact through appointment confirmation.
The clinic has established workflows and processes in place. Training materials will be provided to ensure a smooth onboarding experience.
Key Responsibilities
Lead & Patient Intake Management
- Answer incoming calls and respond to online inquiries promptly and professionally
- Follow up with new leads via phone, SMS, or email
- Verify and enter patient demographic information into the EMR system
- Ensure new patient registrations are accurate and complete
Appointment Scheduling & Confirmation
- Schedule and reschedule appointments based on availability
- Send appointment confirmations and required forms via SMS and email
- Collect deposits using a secure payment link to confirm bookings
- Coordinate scheduling logistics between patients and providers
Administrative Support
- Maintain organized and accurate records within the EMR system
- Attach and track required patient forms prior to appointments
- Provide general administrative support to ensure smooth clinic operations
- Communicate clearly with patients regarding appointment details, deposits, and next steps
Nice-to-Have (Not Required)
- Assist with light social media management or online engagement support
Requirements
Qualifications
- Previous experience in healthcare, medical office, dermatology, aesthetics, or a similar patient-facing environment
- Experience working with EMR systems or medical scheduling software
- Strong verbal and written English communication skills
- Comfortable handling phone calls and patient communications
- Detail-oriented with strong organizational skills
- Experience collecting payments or handling secure payment links is a plus
- Able to follow structured workflows and established processes
- Social media experience is a bonus but not required
Work Schedule
- 30+ hours per week
- Must be available during clinic business hours
- Training and process documentation will be provided
