Westminster Toyota Requires a Full Time Receptionist
The primary and most important responsibility of this role is making outbound calls to existing clients.
This position requires someone who is confident on the phone, comfortable initiating conversations, and committed to maintaining strong communication with our customer base.
Duties include:
Lead Management & Follow-Up
- Respond to inbound sales and service leads (phone, email, text, website inquiries)
- Make high-volume outbound calls to new and existing customers
- Follow up with unsold prospects and previous customers
- Re-engage inactive or past service clients
- Maintain consistent contact schedules for lead nurturing
Appointment Setting
- Schedule sales and service appointments
- Confirm appointments and reduce no-shows
- Provide basic vehicle or service information to customers
- Ensure proper handoff to Sales or Service Advisors
Customer Retention & Database Management
- Update and maintain accurate customer records in CRM
- Track communication history and follow-up tasks
- Run targeted call campaigns (service reminders, promotions, equity mining, lease maturity, etc.)
- Support marketing initiatives through outbound outreach
Performance & Reporting
- Meet or exceed call volume targets
- Achieve appointment-setting goals
- Maintain high show rates and conversion rates
- Follow dealership scripts and processes
- Provide regular activity and performance reports to management
Qualifications
- Strong phone and communication skills
- Comfortable making high-volume outbound calls
- Excellent listening and objection-handling abilities
- Professional and positive attitude
- Strong organizational and time-management skills
- Basic computer and CRM proficiency
- Sales or customer service experience preferred
Additional Information
This is a full time evening position. Schedule will be Monday - Friday from 08:30 am to 4 pm and Friday from 8:30 am to 3 pm.
