THE POSITION
We’re hiring a Recruitment & Office Coordinator to join our People & Culture team.
In this role, you’ll play a key part in how we grow and support our team — driving the day-to-day coordination behind our recruitment process while helping create a welcoming, well-run space at our downtown Toronto headquarters. YOUR IMPACT
Role launch: support the initial setup for new requisitions, including posting positions, creating dedicated hiring channels in Slack, and ensuring all interview scorecards are prepared before the process begins.Scheduling logistics: coordinate virtual and in-person interviews, balancing multiple and complex calendars while navigating last-minute changes with ease.Candidate experience: act as the primary point of contact for candidates, keeping them informed with timely updates and ensuring every interaction feels thoughtful and welcoming.Resume screening & sourcing: support high-volume resume screening and sourcing efforts when needed, identifying qualified candidates and sharing recommendations to enable efficient shortlisting.Systems integrity: maintain a high standard of data accuracy within Lever (ATS) and across our hiring tools, ensuring all records reflect real-time progress.Hiring momentum: proactively flag overdue feedback, coordinate reference and background checks, draft offer letters, and close out roles in Lever upon completion.Workflow optimization: monitor existing recruitment steps to identify and suggest practical updates to tools or templates that improve speed, clarity, and overall effectiveness.Office operations: maintain our Toronto office as a functional and organized workspace for our on-site team, acting as the point of contact for front-desk coverage, mail, and deliveriesFacilities liaison: coordinate with external vendors and building management to resolve maintenance issues and ensure office services are delivered reliably.Office communication: keep the team informed on office updates through Slack, email, and other channels as needed.Health & safety: maintain a clean, safe, and secure office environment, making sure health and safety requirements are up to date and followed.WHAT SUCCESS LOOKS LIKE
In your first 90 days, you’re operating independently and confidently running interview coordination and candidate communications end-to-end. Hiring managers feel supported, candidates feel informed, and interviews stay on track. You’re able to easily navigate our tools and technology and are a reliable presence in the office — handling logistics calmly and proactively.
Over the next 12 to 18 months, you’re a trusted owner of recruiting operations. Time-to-schedule is down, processes feel more consistent, and you’ve helped standardize templates and workflows. Office coordination is also running smoothly without escalation as the business continues to grow.
CANDIDATE PROFILE
1+ years of experience in recruitment coordination, office administration, or operations, ideally within a fast-paced tech or startup environment.Educational background (Bachelor’s degree or equivalent post-secondary) in a field such as Arts, Sciences, Business, Humanities, or a related discipline.Tech-fluent and comfortable working with digital tools, including Slack, Google Workspace, and emerging AI tools to drive efficiency. Previous experience with Lever or other ATS platforms is an asset.Strong organizational skills,with the ability to manage multiple priorities and competing deadlines while maintaining high attention to detail.Clear and professional communication, with the confidence to interact with candidates, hiring managers, and senior stakeholders across various channels.Ownership mindset, with a demonstrated ability to follow through on tasks consistently and proactively.Adaptable and resilient, thriving in an environment where priorities can shift quickly and responsiveness is key.Not checking every box?
