The Opportunity
We are seeking a detail-oriented and highly organized Medical Records Technician, Lead to join our team. Reporting to the Director of Operations, this role plays a critical part in ensuring accurate, timely, and secure management of patient health records while providing leadership and oversight to the medical records team. Your work will directly support quality patient care, compliance, and data integrity across our organization. What You'll Do
- Lead, provide functional guidance and coordinate a team of medical records technicians in the digitization of paper charts, coordination of proper storage of paper charts among multiple offices.
- Supervise daily scanning operations and ensure quality control standards are met
- Train and mentor team members on EHR systems, scanning protocols, and compliance procedures
- Monitor workflow and productivity, identifying opportunities for process improvement
- Main focus is to be part of a larger project to either digitize paper charts or prepare to send to outside storage facility
- Maintain and update electronic health records (EHR) with accuracy and confidentiality
- Review patient records for completeness, accuracy, and compliance with regulations
- Retrieve patient medical records for physicians, technicians, and other authorized personnel
- Process patient requests for medical records in compliance with HIPAA and company policies
- Support release of information processes and coordinate with third-party requesters
- Stay updated on healthcare regulations and maintain certification requirements
- Serve as the primary point of contact for escalated issues related to medical records
- Collaborate with the Office Manager on staffing, scheduling, and resource allocation
Who You Are
- High school diploma or equivalent (required)
- 2+ years of experience working with electronic and paper medical records in a healthcare setting (required)
- 1+ years of supervisory or lead experience in a medical records or healthcare setting (preferred)
- Knowledge of HIPAA regulations and medical terminology (required)
- Experience with EHR systems (required)
- Strong attention to detail, time management, and organizational skills (required)
- Proven leadership and team management abilities (required)
- Ability to work independently and collaboratively in a fast-paced environment (required)
- Excellent written and verbal communication skills (required)
- Problem-solving skills and ability to handle escalated situations professionally (preferred)

👉 Physical Demands:
Mostly sedentary work. Duties require exerting up to thirty pounds of force occasionally and/or small amounts of force frequently. Sedentary work typically involves sitting most of the time but may involve walking or standing for brief periods. Position will require travel to multiple locations.
