The owner is seeking a long-term Virtual Assistant who can provide reliable administrative support and take initiative in day-to-day operations.
Role Overview
This is not a high-volume call center role. Instead, this position focuses on organized client follow-ups, CRM management, document coordination, and supporting the owner and paralegals to ensure smooth workflow.
The ideal candidate is proactive, detail-oriented, and comfortable managing communications through GoHighLevel while keeping everything organized and up to date.
Key Responsibilities:
- Manage incoming and outgoing calls and text messages through GoHighLevel
- Follow up with new leads and update CRM notes accurately
- Send engagement letters and client checklists as needed
- Keep client records organized and complete
- Provide regular updates to the owner regarding client activity
- Coordinate with paralegals for minor administrative tasks (e.g., sending FedEx labels, preparing checklists)
- Ensure no leads or tasks fall through the cracks
Requirements
Must-Have Qualifications:
- Previous experience as a Virtual Assistant or Administrative Assistant
- Strong English communication skills (verbal and written)
- Experience using CRM systems (GoHighLevel experience is a strong advantage)
- Highly organized with strong attention to detail
- Able to work independently and take initiative
